Program Associate Position: Partner Support

CLX is a non-profit organization that works with a growing community of youth-serving organizations, cultural institutions, city agencies, employers, and universities to make Chicago a connected community where all learning counts. We steward a professional learning community representing more than 350 members and organizations across Chicago working to transform the educational experiences of digital-age youth and cultivate an ecosystem—fueled by technology and open innovation—that produces independent, lifelong learners.

Our work includes:

  • Professional development for CLX members across a range of topics relevant to the community
  • Monthly meetups for the CLX Community of Partners
  • CLX Communities of Practice: Subsets of the broader CLX community that collaborate on innovative approaches and shared challenges to improving or remaking learning experiences in Chicago
  • Opportunity pathways work to connect interest-driven enrichment programming to additional learning opportunities, including other enrichment programming, educational opportunities, and career opportunities
  • Support and advocacy for digital badging, which recognizes learning anytime, anywhere it happens
  • Local stewardship of and training on the national digital badging platform called LRNG
  • Support for career pathway initiatives which include partner relations and internship development
  • A modest grantmaking initiative for Community partners to drive innovation in support of youth, adult, and organizational learning

Position Summary

The Program Associate will be responsible for supporting CLX partners with training and other resources, including funding, to create meaningful learning experiences for Chicago’s learners. These experiences should be rooted in Connected Learning - driven by learners’ interests, enhanced by technology, and connected to opportunity. The Program Associate will report to CLX’s Director of Community.

Project Management/ Operations

  • Facilitate Communities of Practice to ensure work is progressing to goals. Include:
    • Planning and logistics
    • Record keeping
    • Internal reporting on progress to goals
  • Support career pathways project management for Energizing Opportunities which includes:
    • Convening regular stakeholder meetings
    • Serving as the internship liaison between key stakeholders and partners
    • Serving as the liaison with external researchers
    • Management of vendor relations (e.g., promotional materials, catering, transportation, and procurement of program equipment, materials, and supplies )
    • Site visits to meet with local stakeholders and partners
  • Engage in meetings as needed with One Summer Chicago leadership on digital badging and playlist. This includes:
    • Inquiring into training needs and challenges from previous summers
    • Working with OSC leadership and delegate agencies to ensure training and support needs are met

Training & Facilitation

  • Partner with learning designers to roll out ongoing digital badge trainings for CLX Community; Program Associate will familiarize themselves with the workshop model so they can eventually deliver the workshop themselves
  • Oversee logistics for badge training workshops (recruitment, location, food, technology, attendance)
  • Partner with learning designers on offering existing learning playlist design workshop; Program Associate will engage in the workshops as well so that they can eventually run the workshop themselves
  • Learn the LRNG Digital Badging and Digital Learning Platform and provide regular technical assistance/PD office hours on LRNG; including platform updates
  • Interface with LRNG staff on platform innovations and challenges
  • Work with Director of Community to curate relevant trainings for CLX Community
  • Partner with One Summer Chicago to continue to provide training and support on summer Playlists and Digital Badging leveraged for summer youth employment programming. This includes:
    • Training lead agencies on playlist and badging strategy
    • Creating training materials for delegate agencies
    • Creating outreach and communications strategies to delegate agencies
    • In collaboration with CLX summer data intern/fellow, supporting tracking and reporting requirements

Data Management & Reporting

  • Ensure records of partner engagement are up to date in Salesforce
  • Create reports for Director of Community and Executive Director on CLX community trainings, Communities of Practice, etc.
  • Use Salesforce and other systems to collect and analyze membership data including participation in convenings, meetups, professional development opportunities, and online channels
  • Create reports analyzing grant performance and project outcomes
  • Identify trends across funded projects, with an eye toward spreading promising initiatives for city-wide distribution and/or implementation

Grant Opportunity Development

  • Develop Proposal Review Committee meeting agendas, oversee meeting planning and coordination, assign reviewers, create review materials and ensure that they facilitate the committees’ analysis of issues and decision making in a complete and timely manner, arrange for documentation of proposal review meetings, conduct the meetings

Grants Management

  • Process and administer timely release of grant payments
  • Monitor grants from proposal approval through close of grant records to ensure compliance with grant terms, including review of grant agreements, progress reports, results, and payment requests

Communications/Event Support

  • Maintain channels for member-to-member communications including the member blog posts and discussion groups
  • Share grantee accomplishments publicly
  • Provide information on grants, organizations and issues in the field for the purpose of media and public relations
  • Create and support special events to highlight grantee and/or community support

Requirements for the Position

  • Embraces the mission and values of CLX
  • Bachelor’s degree
  • At least three years experience in education (in school or out of school time) or youth-development work
  • Excellent oral and written communication skills
  • Highly organized, fast-paced, deadline oriented
  • Attention to detail
  • Ability to build and foster relationships with a diverse range of people
  • Experience with digital media and technology
  • Strong analytical skills
  • Highly collaborative work style
  • Self-starter with a high degree of initiative, enthusiasm, and ability to work independently; ability to effectively manage time and prioritize projects
  • A passion for education, youth development, and equity issues
  • Willing to work flexible hours, including some evenings and weekends
  • Proficiency with Google Suite, Microsoft Office, and Adobe Acrobat; Salesforce is a plus
